Workday mid-summer update

We are deep in the Workday project now, aiming for the January Go Live for the Finance and HCM modules (known as “platform” in Workdayspeak). We have roughly 18 weekly meetings running for the platform Workstreams. Our staff in HR, Finance, and IT are attending these meetings with the Avaap consultants. Right now we are in the configuration stage and the next stage is the end-to-end testing stage. You can find both high level and detailed project plans on the project page.

Vision Statement

One outcome of the planning workshops earlier this summer was crafting a vision statement with our staff and the Avaap change management consultants. That statement below is now on the project page and serves to anchor us as we work towards a future state that is better for our students, faculty and staff.

We envision a modern, unified platform that empowers students, faculty, and staff through self-service and seamless access to the information and tools they need to succeed. By embracing a flexible, future-ready system, we strengthen our ability to support student success, belonging, and innovation.​

Because an ERP is a very complex system, the work has to be broken down into chunks based on one function of the system. These chunks correspond to the typical functions of a finance office or an HR office. All the platform workstreams are listed below. Student has its own set of workstreams which will get going later in fall.

Student Preparedness Workshops

Also, in May and June our staff who will be working on the Student part of Workday met with Avaap consultants as part of student preparedness. Avaap met with our staff and reviewed our academic policies, procedures, and special Augsburg situations. This resulted in an 80 page report that prioritizes policies, procedures, and situations to review. The goal being, to make sure we can plan to fit Augsburg’s details into Workday’s existing processes.

The review determined we have an average number of issues to pay attention to — 40 in total. Of those, 11 are high priority to address before December, 20 are medium priority which mainly will be dealt with after December, and 9 that are low priority and are nice to fix but not essential.

The next 4 months will be spent working through the high priority items with the staff and academic departments involved.
