Summer Conferences at Augsburg University

During the summer months, Augsburg University is able to provide both facilities and housing for summer conference groups.  Options exist for both youth athletic or academic camps/conferences or adult-based conferences.  

Meeting Space

Many campus spaces are available for rental during the summer months for camps and/or conferences.  Work with an event planner to discuss needs and space availability.

Conference Housing Options

Augsburg has two different styles of conference/camp housing available.  Work with your event coordinator to determine which style would be most appropriate for your group.

 

Anderson Hall 

Capacity:  175 beds 

Style:  Adult, suite style living.  

Features:

  • Anderson Hall is air-conditioned. 
  • Rooms are arranged in groups of 2 people to 15 people with semi-private bathrooms. 
  • Most spaces have full kitchens (utensils and tableware NOT provided) but are furnished with beds, desks and dressers in each bedroom.  Common space furniture is not provided. 
  • The building has a controlled, secure entrance. 
  • Each floor has lounges and/or study rooms for small meetings and/or gatherings.  
  • Elevator access.

 

Urness Hall

Capacity:   300 beds 

Style:  Traditional dorm style (2 person rooms with one large bathroom per floor).

Features: 

  • Each room is a double occupancy dorm room that has two twin beds, two desks and two dressers. 
  • Each floor has one large floor bathroom with several shower and toilet stalls. 
  • Each room is provided one fan. 
  • The building has a controlled, secure entrance. 
  • Each floor has a lounge for small meetings or gatherings. 
  • Elevator access. 

 

Linen Rentals

Linen rentals are available for summer housing guests for a one-time fee of $15.00/person.  Rental linen kit include a disposable cup and bar of soap as well as one blanket, pillow, top sheet, bottom sheet, pillowcase, towel and washcloth.  Groups requiring a linen exchange can make arrangements with University Events.  Final linen reservations are due 7 business days prior to guest arrival. 

Athletic Camps

Special arrangements for athletic camps may need to be made because your event will need access to our athletic facilities and fitness center.   Work with your event planner to coordinate with the Athletic Facilities staff to ensure that all of the necessary reservations have been made for your event.

Reservations
To reserve space at Augsburg University for a summer conference or camp, please contact the University Events office at 612.330.1104 or at events@augsburg.edu.  Existing groups in good standing are granted first-right of refusal on dates and spaces that have been contracted in prior years.  Uncontracted space is reserved on a first-come, first-served basis and is based upon campus availability.  

Camps with Minors in Attendance
In the case of groups with persons under 18 years of age, the ratio of counselors to youth will be at least 1:10 at all times.  Counselors must be 18-years of age or older, should be present in the dorms when the campers are,  and may be required to participate in sexual harassment training prior to being hired.  

Camps with minors in attendance must notify Augsburg University and follow all required protocols for training and monitoring camp/conference staff/personnel.  More information on required protocol will be provided at the time of contracting. 

Minimum Group Size

A minimum of 10 people is required to book housing at Augsburg University.

Full-Summer Housing

Due to housing limitations, we do not offer housing for full-summer residential customers.

Food Service

The campus on-site caterer is able to provide meal services for breakfast, lunch and dinner in our traditional campus cafeteria.  The catering office is also able to handle catering needs that any conference or camp group may have while on campus.  Pricing and cafeteria access is dependent upon your actual menu and total number of attendees.  Work with your event planner to discuss options and to get a food service quote for your event.

Rental Fees

Contracting & Payment

All groups using on-campus housing or meeting space must be contracted to host their event at Augsburg University and adhere to all contracted policies and procedures.   A 25% deposit is due at the time that the contract is signed and returned.  The remaining balance will be due at the conclusion of your event.  

Insurance

All external groups must provide a Certificate of Liability Insurance meeting the listed insurance requirements in the summer contract.  Augsburg University must be listed as an additional insured and copy must be provided to University Events prior to the start of the camp or conference.  

It may be possible to purchase insurance through Augsburg University.  Costs for one-time use policies which are purchased through Augsburg University are the responsibility of the external group and are dependent on approval by the Augsburg insurance provider.

Check-in & Check-out

Augsburg University will provide staff for check-in and check-out for up to two hours on the day of check-in/out.  If your group will require more than one check-in or check-out timeframe, the group must cover the cost of student labor for the additional hours. 

Check-out for groups must be complete by 10:00am on the final day of the camp if there is another group coming into the same space within 24 hours of your camp. 

Check-in for groups will be available at 4:00pm on the first day of camp if there is a residential group in the same space prior to your arrival. 

Groups not checked out by the designated time will be charged a late check-out fee of $400.00. 

Camp Rosters

Camp rosters will be provided to your camp coordinator by the University Events office to identify who will be assigned to each room.  Your complete camp roster is due back to University Events no later than five (5) business days prior to the start of your camp.  Late rosters or extensive changes may be charged a late/change fee of $100.00. 

Lost Keys/Fobs

Camps will be charged for keys and/or fobs that are lost, damaged or not-returned by the designated time.  Costs for replacement is outlined in the rental contract. 

Parking

Guest and visitor parking is extremely limited on campus.  Work with your event planner to determine if on-campus parking will be available for your group before discussing parking with prospective attendees.  Parking cannot be guaranteed.  See parking section for more complete information.
