Captioning Decision Guide

Videos on Augsburg’s Website (www.augsburg.edu):

All videos on Augsburg’s website must be professionally captioned. Please refer to the following help guide for how to get videos professionally captioned: How to submit a video for professional captions.

Videos for Augsburg Courses:

If you are using a video for your course that has not previously been captioned and you have received an accommodation request for captions, you will need to work with the CLASS Office to get the video professionally captioned. The CLASS Office may also need to schedule a CART/professional live captioning provider for your course. The CLASS Office will arrange these services.

If you are using a video for your course and you have not received an accommodation request, it is best practice to use captioned videos. Please refer to the following help guide that will detail how to create and edit captions for accuracy in YouTube: How to edit captions in YouTube. You can also enable live captions via Zoom for auto-generated captions. Note: auto-captions are not sufficient to meet an accommodation
request.

Virtual Live Events:

An access statement needs to be included on the event page/invitation so folks know how to request accommodations.

If there is a request for captioning as an accommodation for an event, professional live captioning services are required.

  • The department hosting the event is required to cover these costs. Cost for live professional captioning starts at $110.00 per hour as of February 2023. Work with your event planner to secure these services.
  • If captioning is needed, it is important to place the request as early as possible (typically 2 weeks in advance is best).

If there is no accommodation request for live captioning, you should still turn on live auto-captions as best practice.

On-campus Events:

An access statement needs to be included on the event page/invitation so folks know how to request accommodations.

We strongly encourage as a best practice that videos shown during an in-person event at Augsburg be closed captioned.

If you receive an accommodation request for captioning or onsite CART services, you are required to provide those services. Work with your event planner to secure these services.

For large in-person events, such as graduation, live professional captioning services should be arranged even if there is no accommodation request. Work with your event planner to secure these services.
