id=\"New_Parent_Leave\"><\/span>New Parent Leave<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Effecitve January 1, 2026 the New Parent Leave policy has been replaced by the Minnesota Paid Family and Medical Leave Policy.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Pregnancy_Loss\"><\/span>Pregnancy Loss<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>New Parent Leave is intended to support employees in the event of a birth, adoption, or newly placed foster child. It does not apply in the event of a loss of pregnancy. In such cases, employees may use Bereavement Leave as outlined in the employee handbook. Additionally, employees may request a leave of absence and use accrued sick leave and vacation time, subject to supervisor approval and applicable leave policies.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Paid_Time_Off-_Entry_in_Timekeeping_System\"><\/span>Paid Time Off- Entry in Timekeeping System<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h3><span class=\"ez-toc-section\" id=\"Holidays\"><\/span><a href=\"https:\/\/sites.augsburg.edu\/hr\/employees\/benefits\/holidays\/\">Holidays<\/a><span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Per the employee handbook, all regular employees receive paid holidays pro-rated to their annual FTE. Holiday entries on timecards are managed by Augsburg Payroll. Regular part-time employees will note that the holiday hours calculations are pro-rated to their annual FTE.<\/p>\n<p>Exempt (salaried) employees receive their same biweekly pay regardless of the holiday hour calculations -the pro-ration is already factored in to the annual and biweekly pay rate. <em>Though you may see a pro-rated number of hours shown for holidays, exempt employees will still receive a normal day&#8217;s pay.<\/em><\/p>\n<p>Part-time, non-exempt (hourly) employees are encouraged to work with their supervisor to flex their schedules to achieve the desired number of hours for the week. They may also use other paid time off (vacation, floating holidays) to supplement pro-rated hours on holidays.<\/p>\n<p>Holiday pay is not paid to employees on an unpaid leave or short-term disability leave.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Paid_Time_Off_for_Staff\"><\/span>Paid Time Off for Staff<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Staff with an FTE of 0.5 or greater are eligible for personal, vacation, sick, and floating holiday time. The accrual rates will vary depending on the employee&#8217;s FTE and exempt status.<\/p>\n<p><strong>Non-Exempt (Hourly) Employees:\u00a0<\/strong>When recording partial days off, non-exempt employees should indicate the number of hours in 15-minute increments for which they are taking time off.<\/p>\n<ul>\n<li>Employee A&#8217;s typical shift is 8:00 AM to 4:30 PM (8 hours). They work 8:00 AM until 3:00 PM (6.5 hours, including a 30-minute unpaid break) and go home sick. They would enter 1.5 hours of sick time to cover the hours they missed work that day.<\/li>\n<\/ul>\n<p><b>Full-days Off: <\/b>When recording a full day, employees should use the same hours of paid time off as they would normally have worked that day.<\/p>\n<ul>\n<li>Employee A works 0.75 FTE, 30 hours per week, 12 months per year. A typical day is 6 hours.<\/li>\n<li>Employee B works 0.75 FTE, 30 hours per week, 12 months per year. A typical schedule is 3 days, 10 hours each day.<\/li>\n<li>Employee C works 0.75 FTE, 40 hours per week, 9 months per year. A typical day is 8 hours.<\/li>\n<\/ul>\n<p><strong>Exempt (Salaried) employees:<\/strong> When electing to use paid time off, such as vacation, sick, and personal time, exempt employees should record the number of hours missed that would have normally been worked in &#8216;half-day&#8217; increments.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Float_Holiday\"><\/span>Float Holiday<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<ul>\n<li>Floating holidays should be taken as a full workday.<\/li>\n<li>Floating holidays are not carried over to the next year.<\/li>\n<li>Current staff are awarded all paid floating holidays as of January 1<\/li>\n<li>New staff who begin work between September 1 and November 30 will be eligible for one (1) less paid floating holiday than that year&#8217;s schedule.<\/li>\n<li>New staff who begin work on or after December 1 will be eligible for two (2) less paid floating holidays than that year&#8217;s schedule.<\/li>\n<\/ul>\n<p>Employees who work less than 12 months per year should contact payroll@augsburg.edu if they were not granted the correct amount of full days of floating holiday time off.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Vacation_Time\"><\/span>Vacation Time<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Vacation hours accrued will roll over each year. The maximum number of vacation hours an employee can accrue is 120. This may vary depending on the employee&#8217;s FTE and union status.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Sick_Time\"><\/span>Sick Time<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Sick hours accrued will roll over each year. The maximum number of sick hours an employee can accrue is 960 hours, but this may vary depending on an employee&#8217;s FTE.<\/p>\n<p>Sick time is used for a personal illness or to care for a family member that is sick. Sick time can also be used for doctor&#8217;s appointments and mental health days.<\/p>\n<p>Sick time should not be used for vacation.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Personal_Time\"><\/span>Personal Time<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Personal time must be used within the calendar year (January 1 through December 31). Personal Time is the amount of sick time that you can use for personal use. Personal time is deducted from your sick time bank. You must have enough sick time to use personal time.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"Civic_Engagement_and_Community_Service_Time_for_Staff\"><\/span>Civic Engagement and Community Service Time for Staff<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p><span style=\"font-weight: 400;\">Because Augsburg University recognizes the importance of active citizenship and community involvement in building a just and sustainable society, paid time off for community service and civic engagement is offered to all regular full-time and regular part-time employees. By offering paid time off for such activities, Augsburg seeks to support its employees in pursuing their passions and interests outside of work, while also fostering a culture of service and social responsibility.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><strong>Paid time off for community service must be requested using the Time Off Request tool within the University\u2019s timekeeping system.<\/strong> Requests must include the name of the community organization and a brief description of their intended use for this time off. Requests will be reviewed by the employee\u2019s supervisor. Approved requests are automatically recorded in the employee\u2019s timesheet.<\/span><\/p>\n<a class=\"button\" href=\"https:\/\/scribehow.com\/embed-preview\/Request_Community_Service_Time_Off__XBCoJxP0QXORdbMAyHy3xg\">How to Submit a Time Off Request<\/a>\n<h3><span class=\"ez-toc-section\" id=\"Employee_Military_Leave_Under_30_Days\"><\/span>Employee Military Leave Under 30 Days<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>We are grateful to all who serve. Please contact hr@augsburg.edu to discuss your leave.<\/p>\n<p>Leave may be provided for reservists and members of the National Guard to participate in annual encampment or active duty training, emergency service or specialized training if all legal requirements are met. If these activities are compensated by the federal government, Augsburg may pay the difference between your regular straight-time wages and the government\u2019s compensation.<\/p>\n<p>Note: Your benefits elections will remain the same while on leave.
